Privacy notice

Issued by the Ghana National Association of Private Schools for the 30th Annual General Conference.

Who we are

The Ghana National Association of Private Schools (“GNAPS”, “we”) is the data controller for the personal data collected through this conference registration platform. Our National Secretariat is at 9 Borage Green Street, Goshen Avenue, Madina Estate, Accra.

What we collect

When you register for the conference we collect:

  • your name, title and gender;
  • your phone number, WhatsApp number and email address;
  • your school, its town or community, your district or zone, your region, your role in the school and any position you hold in GNAPS;
  • the names and contact details of anyone accompanying you, where you provide them;
  • any dietary or accessibility requirements you choose to tell us about;
  • payment details relating to your conference fee — the mobile money number used, the account name and the transaction reference. We do not collect or store your PIN, and card details are handled entirely by our payment provider;
  • a record of your attendance on each day you are checked in.

Why we collect it

We process your data in order to:

  • administer your registration and issue your registration ID and badge;
  • collect and reconcile the conference fee;
  • plan seating, catering, materials and accessibility arrangements for the conference;
  • record attendance and, where applicable, issue certificates;
  • send you conference communications, including confirmations, receipts and programme updates;
  • produce aggregate statistics on participation — for example the number of participants by region — for the Association’s reporting.

Our lawful basis is your consent, given when you submit the registration form, and the performance of our arrangement with you to provide access to the conference.

Who we share it with

We do not sell your data, and we do not share it with third parties for marketing. We share the minimum necessary with:

  • our payment provider, in order to process an online payment you initiate;
  • our email provider, in order to deliver your confirmation and receipts;
  • the conference venue and service providers, where an aggregate figure or a specific accessibility requirement must be shared to host you properly;
  • a public authority, where we are required to do so by law.

How long we keep it

Registration and attendance records are retained for the Association’s institutional record of the conference. Financial records relating to payments are retained for the period required by Ghanaian tax and accounting law. You may ask us to delete data we are not required to retain.

Your rights

Under the Data Protection Act, 2012 (Act 843) you have the right to be informed about how your data is used, to access the data we hold about you, to have inaccurate data corrected, to object to processing, and to withdraw your consent at any time. Withdrawing consent will not affect processing carried out before you withdrew it, and may mean we can no longer administer your participation in the conference.

To exercise any of these rights, contact the National Secretariat at mro@gnaps.org. You also have the right to lodge a complaint with the Data Protection Commission of Ghana.

Security

Access to registration data is restricted to accredited Secretariat officers, each with an individual account and a role that limits what they may see and do. Passwords are stored only as irreversible hashes, all administrative actions are recorded in an audit log, and the registration database is backed up automatically each day.

Cookies

This site sets a single cookie, and only for accredited officers: a secure, httpOnly session cookie used to keep an administrator signed in. No analytics, advertising or tracking cookies are used on the public pages.
